When low-code falls short
There are scenarios where OutSystems is not the best choice for automation:
- Automating processes without a UI: a lot of business automation is "headless" (no user interface). Processing invoices, reconciling data or syncing systems doesn't need an app. It needs scripts, integrations and orchestration. Integration and automation platforms (iPaaS, RPA) are more efficient for these cases.
- Advanced artificial intelligence: NLP models, computer vision and machine learning require specialised frameworks. OutSystems can consume AI APIs, but it isn't the platform to develop or train models (see AI for businesses).
- Large-scale system integration: when the goal is to connect 5 to 10 systems and automate the data flow between them, an integration platform (iPaaS) is a better fit than an application platform (see system integration).
- Automating simple repetitive tasks: to automate tasks such as sending emails, updating spreadsheets or moving files, automation tools like n8n, Make or Power Automate are simpler and more cost-effective.
- Licensing costs: OutSystems has a licensing model based on Application Objects and users that can become significant for simple use cases.
Real costs and TCO
The total cost of ownership (TCO) of OutSystems includes factors that aren't always obvious:
- Licensing: an annual subscription based on Application Objects, users and environment. For an average application, licensing costs can range from €20,000 to €100,000 a year.
- Development: although faster than traditional development, it still requires OutSystems-certified developers. The hourly cost of an OutSystems developer is typically 15 to 30 percent higher than that of a conventional full-stack developer.
- Maintenance: platform updates can require adjustments to applications. Dependence on the platform (vendor lock-in) limits portability.
- Scale: costs increase with the number of users and applications. Projects that start small can run into cost surprises as they scale.
Alternatives and complementary approaches
Depending on the use case, there are alternatives to OutSystems for automation:
- For automating processes without a UI: integration platforms (MuleSoft, n8n, Make) or custom automation with Python/Node.js.
- For AI-driven automation: specialised solutions for document processing, chatbots or data analysis, with or without an interface (see AI-driven vs traditional automation).
- For simple portals: modern web frameworks (React, Next.js) can be more cost-effective in the long run if the team has development skills.

How to decide on the right approach
- Define the problem, not the solution: start by describing the process you want to automate, not the platform you'll use.
- Assess whether you need an interface: if the process is "human-to-system" (portal, app), low-code makes sense. If it's "system-to-system" (integration, data processing), it probably doesn't.
- Calculate the 3-year TCO: include licensing, development, maintenance and opportunity cost. Compare it with the alternatives (see how to calculate ROI).
- Consider in-house skills: does the team have, or can it develop, OutSystems skills? Or is it more realistic to use technologies it already knows?
- Assess vendor lock-in: what risk does depending on a specific platform represent? What alternatives exist if you want to switch in the future?
